As our Planned Works Coordinator, you will support the Asset Manager and assist in all areas of asset management, taking responsibility for key administrative functions, system updates, data management, and liaison between departments and contractors. Within this role, you will help to ensure properties are maintained, systems are accurate and up to date, and customers receive a timely and professional service.
What you’ll do:
Ensure the Asset Management System and related platforms are accurately maintained and updated to support the effective delivery of planned works.
Serve as the key contact for the contact centre and other internal teams, ensuring up to date information on assets
Ensure all cost information is accurate and carry out regular audits of supplier documentation uploads to maintain compliant.
Monitor contractor performance and support the delivery of Key Performance Indicators (KPIs) data and audits.
Compile and provide accurate data on completed works, supporting customer satisfaction reporting and performance monitoring
Support Asset and Customer Services teams with delegated tasks, including repairs and compliance, as needed
Assist in managing the asset team’s response to complaints, ensuring prompt resolution and communication
Support financial management by verifying invoices and assisting Asset Managers in financial tracking
Provide excellent customer service and administrative support across the Assets team
Liaise with internal teams to coordinate service delivery and contribute to continuous improvement initiatives
What we’re looking for:
Strong administrator and coordinator who supports the team effectively
Experience of working in a customer-facing service role
Proven experience in handling and resolving complaints effectively
Familiarity with Repairs & Maintenance systems and advising customers on technical maintenance issues
Experience liaising with and managing external stakeholders
Good knowledge of computerised systems and administrative procedures
Able to collaborate well and manage tasks independently
Good problem solver, able to take practical steps with team support
